Who we are

PaidDesk ("PaidDesk", "we", "us") provides AI accounting and invoicing software to businesses in the United Kingdom, through this website (paiddesk.co.uk) and the PaidDesk application. This policy explains what personal data we handle and your rights over it. For any privacy question, contact us at hello@paiddesk.com.

The information we collect

• Enquiries: when you use our contact form we collect your name, email address, company (optional) and message.
• Account & billing: if you buy PaidDesk, we (and our payment providers) process your name, email and purchase details. Card details are handled entirely by Stripe or SumUp — we never see or store your full card number.
• Data you enter into the app: when you use PaidDesk you enter business records — your customers, invoices, quotes and payments. You control this data; we act as a processor for it on your behalf.
• Technical data: standard server logs (IP address, browser type, pages requested) and essential cookies needed for the site and app to function.

How we use your information

• To respond to your enquiries and provide customer support.
• To supply, maintain, secure and improve the PaidDesk software and licence.
• To process your purchase and licence renewals.
• To send service messages (for example, receipts and important account notices).
• To meet our legal and accounting obligations.

Our lawful bases under UK GDPR are: performance of a contract, our legitimate interests in running and improving the service, your consent (where asked), and compliance with legal obligations.

Google user data & the Gmail integration (Limited Use)

PaidDesk offers an optional feature to send your invoices, quotes, receipts and reminders from your own Gmail account. If you choose to connect Gmail, PaidDesk requests only the gmail.send permission, which lets the app send emails that you initiate from within PaidDesk.

PaidDesk's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. Specifically:

• We use Gmail access only to send emails you ask PaidDesk to send.
• We do not read, scan, store or import your Gmail messages, contacts or mailbox contents.
• We do not use Google user data for advertising, and we do not sell it or transfer it to third parties except as needed to provide the feature, for security, or to comply with the law.
• We do not allow humans to read your Google data unless you give explicit consent for a specific support issue, it is needed for security, or the law requires it.
• You can disconnect Gmail at any time in PaidDesk, which revokes our access. You can also revoke access at myaccount.google.com/permissions.

Sharing & service providers

We share personal data only with the providers needed to run PaidDesk, under appropriate agreements:

• Stripe and SumUp — payment processing (you connect your own accounts for taking customer payments).
• Google — only if you connect Gmail, and only to send email as described above.
• Email & hosting providers — to deliver messages and host the service.

We do not sell your personal data.

Cookies

We use only essential cookies required for the website and secure app sign-in to work. We do not use advertising cookies.

Data retention

We keep enquiry data for as long as needed to deal with your request and for a reasonable period afterwards. Account and billing records are kept for as long as your licence is active and as required by UK tax and company law. Data you enter into the app is retained under your control and deleted when you remove it or close your account.

Your rights

Under UK GDPR you have the right to access, correct, delete or restrict your personal data, to object to certain processing, and to data portability. To exercise any of these, email hello@paiddesk.com. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

Security

We use appropriate technical and organisational measures to protect your data, including encryption in transit, hashed passwords and access controls. No system is perfectly secure, but we work to keep your information safe.

Changes to this policy

We may update this policy from time to time. The "last updated" date above shows when it last changed. Material changes will be highlighted on this page.
